Crewfinder Terms and Conditions
Effective date: 21 August 2026
These terms govern access to and use of Crewfinder. By creating an account or using the service, a user agrees to these terms.
1. Operator
Crewfinder is the trading name of Philip Hermanus Venter, who operates the service personally as a sole proprietor. Crewfinder is not a separate incorporated legal entity. A company registration number is not applicable.

2. Eligibility and authority
Account holders must be at least 18 years old.
A person creating or using a Company, venue, supplier, service-provider or other organisational account confirms that they are authorised to act for that organisation and to bind it where applicable.
3. The service
Crewfinder provides profiles, discovery, availability, calendars, booking and staffing workflows, subscription features, support tools and governed document functions for the professional production community.
Features may develop, change or be withdrawn. Crewfinder does not promise that every feature will always be available or operate without interruption.
4. Crewfinder's platform role
Crewfinder charges subscription fees only for access to the Crewfinder platform and its subscription features. Crewfinder does not collect, hold, distribute, transfer or process funds on behalf of freelancers, companies, venues, suppliers, service providers, artists or any other third party.
Hiring, booking and other commercial arrangements between users are agreements between those parties and payments relating to those arrangements take place independently of Crewfinder.
Crewfinder is not a user's employer, agent, representative or business partner.
Users are responsible for agreeing rates, scope, working hours, payment, tax, insurance, safety, permits and all other terms of their work or services.
5. Accounts and information
Users must:
- provide accurate and current information;
- protect their login methods and promptly report suspected unauthorised access;
- use only accounts and organisations they are authorised to control;
- not impersonate another person or organisation;
- not make false claims about qualifications, experience or authority.
6. Profiles, availability and visibility
Information deliberately made public through current profile and availability visibility settings may be visible without authentication. Availability is a coordination aid and is not a promise that a user will accept work.
Login email addresses, private calendars, Personal Information Centre information and private documents are not public profile information.
7. Bookings and working relationships
Invitations, booking requests, calendars, rates, service requests and engagement statuses record workflow between users. They do not replace an employment, contractor, booking, supply or service agreement where one is required.
Users remain responsible for verifying counterparties, agreeing the final scope and payment terms, complying with applicable law and resolving performance or payment disputes.
8. Documents and third-party information
Users may upload or share information only where they have the right and authority to do so. Users must avoid unnecessary personal information about third parties and must not upload unlawful, malicious, stolen, fraudulent or rights-infringing content.
Crewfinder may restrict content that presents a legal, security or operational risk.
9. Company subscriptions
Eligible Company accounts may subscribe to paid Crewfinder plans at the price and billing interval shown before checkout. Monthly subscriptions renew automatically until future renewal is cancelled.
Cancelling renewal, including selecting Free while a paid subscription is active, stops future renewal. Paid access continues until the end of the current paid billing period, after which Free applies. Selecting Free does not immediately remove paid entitlement while PayFast continues renewal.
Existing shows, crew, documents and history are not deleted merely because a subscription ends. Failed payments, disputes and provider-status uncertainty may require support review.
10. Acceptable use
Users must not:
- misuse another person's personal information;
- scrape or harvest profiles or contact information;
- attempt to bypass access controls or interfere with Crewfinder systems;
- introduce malware or harmful code;
- use Crewfinder for fraud, harassment, discrimination or unlawful conduct;
- create misleading or duplicate accounts to deceive others.
11. Archive, deletion, suspension and termination
Archiving a profile is not account deletion. Archive preserves the account and history and may be reversible. Users may request access, correction or deletion through the privacy contact, subject to verification and lawful retention requirements.
Crewfinder may suspend or terminate access where reasonably necessary to protect users or systems, investigate abuse, prevent fraud, comply with law or enforce these terms.
12. Intellectual property
Users retain ownership of content they provide and give Crewfinder the limited permission needed to store, process, display and transmit it to provide the service and carry out their sharing instructions.
Crewfinder's branding, software, interface and original service content remain protected by applicable intellectual-property law.
13. Disclaimers and liability
Users make their own decisions about whom they hire, work for, trust or share information with. Crewfinder does not guarantee work, payment, availability, suitability, performance or another user's legal compliance.
To the extent permitted by law, Crewfinder is not responsible for another user's conduct, the quality or outcome of work, unpaid invoices, user-provided inaccuracies or events outside Crewfinder's reasonable control.
Nothing in these terms excludes rights or liability that cannot lawfully be excluded.
14. Governing law and jurisdiction
These terms are governed by the laws of the Republic of South Africa. Disputes are subject to the courts of competent jurisdiction in South Africa. No specific local court is designated by these terms.
15. Changes to these terms
Crewfinder may update these terms when the service, law or business practices change. Material changes will be published with a revised effective date.
